Getting Started
How do I create a task?
Tap the plus button or the quick-add row in Today, All Tasks, or any category. On iPhone you can also use the “Add New Task” card.
Can I just type what I mean?
Yes. Type or dictate something like “call the dentist next Tuesday at 3” and PathDay fills in the date, time, and other details for you. A built-in parser does this on every device. On devices with Apple Intelligence, PathDay also uses Apple’s on-device model to catch what the parser misses. Either way it happens on your device, and you can change anything it filled in before you save.
How do I edit or delete a task?
Tap a task to open the editor. Swipe a task to Flag or Delete it. Deleting a recurring task asks whether to remove just that occurrence or the whole series.
How do I mark a task complete?
Tap its completion button in the list, or mark it complete in the task editor.
How do I set a priority?
Set None, Low, Medium, High, or Critical (color-coded) in the task editor.
Can I edit several tasks at once?
Yes. In All Tasks, tap Select, choose multiple tasks, then set Date, Category, or Priority for all of them and tap Apply.
The Inbox
What is the Inbox?
It is where anything you capture waits until you decide about it. The Inbox is not a category you file into, it is a state a task is in: an item is in the Inbox from the moment you capture it until you give it a day.
How do I capture something to the Inbox?
On iPhone, tap the floating plus in the tab bar while you are on the Inbox and the editor opens with the Inbox already chosen. On iPad and Mac the Inbox column also has its own Add New Task row. Either way the item lands with no date and no category.
How does a task leave the Inbox?
By getting a day. Giving an item a date, in any editor or from Process Inbox, is the decision that takes it out. Giving it a category does not move it, because a category says what a thing is about, which is not an answer to when.
What is Process Inbox?
A deliberate pass that empties the Inbox. Your whole queue is listed on one screen under a progress strip. Tick one row or several, then tap Schedule, Snooze, Update, or More. Undo reverses a whole batch.
What is the difference between Snooze and Someday?
Snooze hides an item until a wake day, a week or a month out, and then it returns to the queue on its own. Someday hides it indefinitely and it never comes back by itself. Both sit in collapsed sections under the Inbox, and Review Someday is a separate pass for the second one.
What happens if I move a task that already has a date into the Inbox?
Its date and its due date are both cleared, because an Inbox item is something you have not decided when to do, and a deadline is a decision about when. The app warns you first and names what it is about to clear, and Undo restores it.
Organizing with Categories and Tags
What are Categories?
Categories are how you organize tasks by area of your life. Each category has a name, icon, and color, and a task is filed into exactly one of them or none at all. You can create as many as you want. Categories were called Lists in earlier versions.
What happens if I delete a Category?
The category is removed and its tasks are kept. Tasks that have a date simply become unfiled. Tasks with no date move to your Inbox, so they are not left both unfiled and undated, and the confirmation tells you how many will move before you commit.
How do tags work?
Type a #hashtag directly in a task’s name and it is automatically added as a tag. You can filter by tag from the bars in Today, All Tasks, category screens, Search, and Reports. Manage tags under Settings, User Preferences, New Task Defaults.
Scheduling, Reminders, and Recurring Tasks
How do I set due dates and times?
Set a task date, plus an optional due date and due time, in the task editor. A due date must fall after the task date.
How many reminders can I add?
Up to two reminders per task, using presets or a Custom date and time.
How do recurring tasks work?
Use the recurrence builder to repeat Daily, Weekly, Monthly, or Yearly, with intervals and weekday or day-of-month patterns. You can edit a single occurrence or the whole series. A task cannot have both a due date and a recurrence. Manage all series from the Recurring section at the bottom of All Tasks.
How do subtasks work?
Subtasks break a task into a checklist of smaller steps, such as a shopping list.
Notes and Attachments
Can I add notes to a task?
Yes. Every task has a Notes field for extra detail or context.
Can I attach photos, files, or audio?
Yes. Attach photos and files to a task, and record audio memos with on-device transcription. Attachments are stored in your private iCloud.
Habits
How does habit tracking work?
The Habits tab shows your habits as cards with streaks. Incomplete habits sort to the top, and you can log any past day by picking a date.
What kinds of habits can I create?
Five types: Simple (yes or no), Segment (named slots like AM and PM), Count (a tally toward a target), List (daily text entries), and Measure (a decimal value over time).
How do streaks work?
Each card shows a streak flame that turns orange at seven or more days, plus an optional seven-day trend chart.
Mantras
What are Mantras?
Mantras are a daily mindset practice. Tap Add Mantras to turn on ones from the built-in library, or Create Custom to write your own with a label, title, and passage.
How do I practice mantras?
Tap a card to mark it practiced. Practice resets each day and builds a streak. Built-in mantras can be turned off and returned to the library rather than deleted.
Focus Timer (Pomodoro)
How does the focus timer work?
The Pomodoro timer alternates focus sessions with short and long breaks (default 25, 5, and 30 minutes, four sessions per cycle), and every duration is configurable.
What else does the timer do?
It stays in sync across your devices, shows a Live Activity and Dynamic Island countdown, keeps a session History, and notifies you when a session or break ends. You can also link a focus session to a task to track the time you spend on it.
Reports, Search, and Achievements
What do Reports show?
Bar charts for Daily (seven-day), Monthly (twelve-month), or Yearly (five-year) periods, covering Tasks, Habits, and Mantras, with Category and Tag filters.
How does Search work?
Search finds tasks by name or notes, and you can narrow results by status, recurring, Category, and Tag filters.
What are Achievements?
Tap the trophy in the task editor to flag a task as an achievement. Achievements collect on the Achievements tab, grouped by year and month. You can turn the feature on or off under Settings, User Preferences.
Sync and Devices
Does the app sync across devices?
Yes. PathDay syncs through iCloud across iPhone, iPad, and Mac.
Do I need a separate account?
No. Sync uses the Apple ID already signed into your device.
What happens when I get a new device?
Sign in with the same Apple ID and your data syncs automatically.
Can I use the app offline?
Yes. PathDay works offline and syncs your changes once you are back online.
Notifications
Why am I not receiving reminders?
Make sure reminders are set on the task and that notifications are enabled under your device Settings, Notifications, PathDay.
Data and Privacy
How is my data protected?
Your data is stored in your private iCloud account using Apple’s CloudKit, which includes strong encryption. PathDay never sells or shares your data.
Does PathDay use AI, and does it send my data anywhere?
PathDay uses Apple Intelligence on supported devices to read tasks you enter in plain language, and it transcribes audio memos on your device. All of it runs locally through Apple’s own frameworks. Nothing you type or dictate is sent to Minds Illuminated, to Apple’s servers, or to any third party, and PathDay does not use any outside AI service. Where Apple Intelligence is unavailable or switched off, PathDay works the same way using its built-in parser.
How do I delete my data?
Go to Settings, Manage Data, Delete All Data. A two-step confirmation erases all of your tasks, categories, tags, reminders, attachments, habits, mantras, and focus sessions.
Pricing
Is the app free?
Yes. Every feature is included at no cost. There is no paid tier, no subscription, and no in-app purchase.
Customization and More
Does the app support Light and Dark mode?
Yes. Choose System, Light, or Dark under Settings.
How can I customize the app?
Under Settings, User Preferences you can set default priority, category, and tags for new tasks, choose card styles, configure the bottom-bar tabs, toggle count badges, and show or hide the daily quote.
Is there a roadmap?
Not yet. A public roadmap is planned. In the meantime, send requests from Settings > Support & Feedback in the app.
Is there a web version?
Not currently. PathDay is a native app for iPhone, iPad, Mac, and Apple Watch.
